As an Executive Assistant, you will provide comprehensive administrative support to our executives and contribute to the smooth operation of our organization.

In this role, you will be responsible for managing calendars, scheduling meetings, coordinating travel arrangements, and organizing necessary documents. You will act as a gatekeeper, filtering and prioritizing incoming requests and ensuring all correspondence is handled in a timely and professional manner. Additionally, you will be responsible for preparing reports, creating presentations, and conducting research as needed.

You should have a strong ability to anticipate needs, demonstrate discretion and confidentiality, and develop effective working relationships with internal and external stakeholders.

Responsibilities

  • Manage executives' calendars, schedule meetings, and coordinate travel arrangements.
  • Screen and prioritize incoming communications, including emails, phone calls, and mail.
  • Prepare and edit correspondence, reports, and presentations for internal and external distribution.
  • Conduct research and compile data for various projects and initiatives.
  • Organize and maintain accurate and up-to-date files and records.
  • Assist in the coordination and planning of company events and meetings.
  • Monitor and manage executive expenses and assist with budget tracking and reporting.

Requirements

  • Bachelor's degree in Business Administration or a related field.
  • Proven experience as an Executive Assistant or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational, time management, and problem-solving skills.
  • Strong attention to detail and ability to handle multiple tasks simultaneously.
  • Exceptional written and verbal communication skills.
  • Ability to maintain confidentiality and exercise discretion.
  • Proactive and self-motivated with a positive and professional attitude.
