Senior Executive Administrator
This job involves the search for a proactive, detail-oriented, and highly organized Senior Executive Administrator to provide comprehensive support to the executive leadership team. The role calls for exceptional multitasking skills, strategic thinking, and professionalism to handle high-level administrative tasks. Candidates with a legal background are favored as they will also help in reviewing legal documents and coordinating legal matters. The ideal candidate will excel in a fast-paced, confidential environment and act as a trustworthy partner to the executive team.
This position has the flexibility to be based in China, Hong Kong, or Singapore.
Key Responsibilities
- Executive Support: Acting as the main point of contact for the executive leader by handling calls, emails, and inquiries, managing complex calendars, and preparing reports.
- Meeting and Event Coordination: Planning and organizing high-level meetings, managing logistics for events, and assisting in strategic annual meetings and company events.
- Travel and Expense Management: Arranging travel, managing expenses accurately, and ensuring seamless trips for domestic and international travel.
- Legal and Documentation Support: Reviewing and organizing legal documents, collaborating with the legal team, and maintaining confidentiality and proper documentation.
- Administrative Optimization: Managing critical company documents, enhancing administrative processes, and overseeing office procurement.
- Crisis Management and Special Assignments: Supporting executives in urgent situations and ensuring timely execution of important tasks.
Qualifications:
Education and Experience
Bachelor’s degree in Law, Business Administration, or related field (Master’s degree preferred).
Minimum 5 years of experience supporting C-suite executives in an executive assistant or senior administrative role.
Ability to handle confidential information discreetly.
Skills and Competencies
Strong organizational and time management skills to prioritize tasks effectively in a fast-paced setting.
Excellent verbal and written communication skills for executive-level correspondence.
Proficiency in office software and project management tools, legal document review, and administrative processes.
