We are currently searching for a diligent and organized Executive Administrative Assistant to offer comprehensive support to multiple Executives throughout our business operations. The ideal candidate will thrive in a fast-paced environment, handling frequent changes and competing priorities. Experience supporting senior executives in a high-growth startup setting is preferred for this role, requiring proactive behavior, proficiency in calendar management, project coordination, cross-functional collaboration, and exceptional communication abilities.

Technical Skills required:

  • Efficient management of complex calendars for various senior executives, including scheduling international meetings effectively.
  • Coordinating both domestic and international travel arrangements with attention to detail and adherence to company policy.
  • Accurate processing of expense reports in compliance with guidelines.
  • Providing general administrative support, including document management, correspondence, and presentation preparation.
  • Assisting with logistical arrangements for team offsites and special events.
  • Supporting the planning and execution of NYC-based events if local to the area.

  • Excellent organizational and time-management skills, adaptable to changing priorities.
  • Oversight of project timelines, milestones, and deliverables.
  • Assistance in planning, executing, and tracking strategic initiatives and projects led by Executives.

  • Ability to handle confidential information discreetly.

Organizational Knowledge:

  • Ensuring alignment of goals, objectives, and initiatives across multiple departments.
  • Coordination of meetings involving cross-functional teams.
  • Acting as a link between executives and various departments, facilitating communication effectively.

Communication and Influence:

  • Prioritizing and scheduling engagements by liaising with stakeholders.
  • Cultivating a strategic mindset and contributing innovative ideas.
  • Demonstrating passion and commitment to impactful work.

Qualifications:

  • Experience as an executive assistant to multiple C-level executives in dynamic environments.
  • Proficiency in calendar management, travel coordination, and expense reporting software.
  • Problem-solving skills, proactive attitude, and good judgment.
  • Ability to work independently and as part of a team.
  • Proficient with Google Workspace and other relevant tools.
  • Hands-on experience in event logistics, project management, and cross-functional coordination.
  • Preferred location on the East Coast, proximity to NYC is a bonus.
