VFX Coordinator

You will be reporting to the VFX Producer for this role. As a VFX Coordinator, you will become part of a pioneering generative AI startup that is revolutionizing the future of filmmaking. Your responsibilities will involve collaborating with various internal teams such as Post Production, Pipeline, IO, and Film Innovation, and coordinating projects spanning feature films, episodic series, and commercial content. Proficiency in Flow Production Tracking Software, effective time management, and multitasking capabilities are essential for this role. Furthermore, the ability to work seamlessly with cross-functional teams in both US and UK locations is crucial.

Requirements:

• Support the VFX Producer in managing outsourced work, including bidding and media management
• Facilitate the exchange of vendor packages in coordination with the Data IO team
• Maintain regular communication with vendors via email
• Act as a liaison between vendors and internal teams, ensuring timely information dissemination
• Create project pages and playlists in Flow for daily review sessions
• Organize and conduct review sessions
• Take detailed notes and follow up on pertinent information
• Coordinate the tasks and schedules of the internal artist team
• Monitor the status of Flow projects on a daily basis to ensure accurate updates on assignments and timelines
• Collaborate with the Producer, VFX Supervisors, and IO teams to schedule tasks and ensure timely delivery of final materials
• Arrange internal and external meetings, accommodating multiple time zones
• Maintain and distribute vendor contact lists for all relevant projects
• Generate and track technical support tickets with the IO and Pipeline teams
• Monitor invoices and payment status in coordination with the accounting department

Qualifications:

• Proficiency in Flow, RV, MediaShuttle, Excel, Google Suite, Zoom, Jira, and Confluence
• Prior experience in visual effects, editing, or IO roles
• Comprehensive understanding of live-action VFX workflows, processes, and pipelines
• Familiarity with common file formats and resolutions
• Flexibility to work non-traditional hours to accommodate various time zones
• Ability to manage multiple projects concurrently
• Knowledge of Davinci Resolve editing software is advantageous
• Highly organized, proactive, and detail-oriented
• Proficiency in multiple spoken languages is a bonus
