Office & Operations Coordinator - Zagreb
The position in Zagreb at ChainSafe involves essential responsibilities in managing office operations and ensuring a seamless workplace experience. This role requires overseeing all office-related tasks, fostering communication with local third-parties, and providing cross-departmental administrative assistance to the Canadian parent company. Key Challenges
- Manage office maintenance tasks such as upholding workplace safety standards, stocking supplies, ensuring workspace professionalism, and handling general administrative duties.
- Act as the primary contact for internal and external office visitors, manage communication channels, and supervise facilities management activities like repairs and organization.
- Collaborate with local third-party services including accountants, attorneys, cleaners, and facility managers.
- Support with event planning and maintain inventory of promotional materials.
- Spearhead office improvement initiatives to boost workforce productivity and maintain a professional work environment in Zagreb.
Responsibilities
- Maintain smooth office operations and ensure effective communication with various service providers.
- Coordinate with local entities for tasks like payroll, bookkeeping, legal compliance, and document organization.
- Supervise office inventory and manage administrative tasks such as handling intern salaries and overseeing quarterly budget planning.
- Organize team travel arrangements, manage office supplies, and coordinate in-office events.
- Provide general administrative support to the organization as needed.
Qualifications & Expectations
- Minimum of 1 year experience in office and operational administrative roles.
- Proficiency in multitasking, with a proactive and independent work approach.
- Strong interpersonal skills and a genuine passion for aiding others.
- Based in Zagreb, part-time availability with a minimum of 3 days onsite.
- Proficient in written and spoken Croatian and English.
- Advanced computer skills, especially in Google Suite tools.
