Operations Assistant
About the Role
We're looking for an Operations Assistant to work closely with our VP of Operations and help keep the company organized and running smoothly.
A big part of this role is taking things off the team's plate. You'll be working on documents, organizing files, keeping information up to date, writing and maintaining internal documentation, doing research, following up on tasks, and helping with whatever operational work needs to get done.
We're a lean team, so this is not a role where you'll be given one task and wait for the next one. There will be a lot of different things coming your way. Some will be routine, some will be completely new. We need someone who can figure things out, stay organized, and follow through without needing to be managed every step of the way.
We're also still in the process of bringing in investors, so we're keeping the team lean and being thoughtful about hiring. We're looking for someone who can be genuinely useful across different areas of the business and grow with the company.
Responsibilities
- Work directly with the VP of Operations on day-to-day operational tasks
- Create, organize, update, and maintain company documents and files
- Keep Google Drive and other company folders clean, organized, and easy to navigate
- Write and maintain SOPs, process documents, internal guides, and other documentation
- Take information from meetings, chats, notes, and conversations and turn it into clear documentation
- Maintain spreadsheets, trackers, reports, and other internal records
- Help keep tasks, deadlines, and follow-ups organized
- Research different topics and put together useful summaries and information
- Help coordinate with team members and follow up on things that need to get done
- Help improve the way we organize information and run internal processes
- Assist with onboarding materials and other internal resources
- Take on one-off projects and administrative tasks as needed
- Handle confidential company information responsibly
Requirements
- 1+ years of experience in operations, administration, executive assistance, project coordination, or a similar role
- Very organized and detail-oriented
- Strong written English and comfortable writing clear documentation
- Comfortable working with Google Docs, Sheets, Drive, and similar tools
- Good at organizing large amounts of information and files
- Able to manage multiple tasks without losing track of details
- Comfortable working independently and figuring things out
- Reliable and good at following through
- Comfortable in a remote and fast-moving environment
- Willing to do whatever needs to be done to keep things moving
Nice to Have
- Experience working directly with a founder, executive, or operations team
- Experience writing SOPs or internal documentation
- Familiarity with Notion, Slack, ClickUp, Asana, Airtable, or similar tools
- Good spreadsheet skills
- Experience at a startup or small company
- Comfortable using AI tools to help with research, writing, organization, and repetitive work
- Experience in crypto, Web3, fintech, trading, or financial services
Who This Is For
- This role is a good fit if you're naturally organized and like getting things done.
- If someone sends you 20 files and says "please organize these," you should be able to figure out a sensible system and get it done.
- If a process keeps coming up but nobody has documented it, you should be comfortable writing it down.
- If you notice something is missing or could be done better, we want you to speak up and fix it.
- We're looking for someone dependable, practical, and easy to work with. You don't need to know everything coming in. You just need to be willing to learn, take ownership, and get the work done.
