Receptionist
Flow Traders seeks a Receptionist to be a valuable part of our Facilities team based in Amsterdam. The ideal candidate should possess strong organizational skills, excellent communication abilities, and a customer-centric approach. Together with a colleague, you will manage front desk reception responsibilities while proactively ensuring a top-notch experience for both internal and external stakeholders. Key Responsibilities:
- Coordinate travel arrangements, including flights, accommodations, and transportation for staff, guaranteeing seamless travel experiences
- Manage office inventory and maintain relationships with vendors
- Provide a positive and professional experience for all visitors, offering refreshments, addressing inquiries, and cultivating a welcoming atmosphere
- Handle incoming calls by appropriately directing them to related departments, taking messages, and ensuring timely responses
- Supervise incoming and outgoing packages
- Maintain office facilities functionality, including preparing meeting rooms for events or meetings
- Keep meeting rooms and the office environment orderly, clean, and conducive to productivity, overseeing waste disposal and recycling efforts
- Collaborate with the Facilities team and other departments to facilitate cross-functional initiatives and nurture a harmonious work environment
- Monitor office's physical access, and participate in the Emergency Response Team for prompt reaction to emergencies or alarms
- Support various administrative tasks like precise document filing, processing invoices, and aiding office operations as necessary
- Proactively seek ways to enhance processes, propose cost-saving strategies, and improve overall office management efficiencies
- Assist with ad-hoc duties, projects, and tasks as they arise
Qualifications:
- Minimum MBO degree
- Proficiency in Dutch and English
- Customer-oriented mindset, enthusiasm, and proactive approach
- Flexibility, precision, and strong communication abilities
- Hands-on mentality, problem-solving creativity, and resilience to stress
- Strong organizational and planning skills
- Willingness to work shifts between 8 AM and 6 PM, five days a week in the office
- Minimum of four years' experience in a secretarial/reception role, preferably within an international setting
- Proficient in MS Office suite
- Strong multitasking and time management capabilities
