Mission
As an essential member of our Workplaces Team, the Office Management Coordinator plays a vital role in maintaining a productive and pleasant work environment for our employees. This position is responsible for the efficient daily operations of our offices, both locally and internationally, serving as the central point of contact for all team members. Collaborating closely with the team, the Coordinator will devise innovative strategies to enhance the workspace experience for our Panda community, fostering creativity and collaboration.
Responsibilities
- Overseeing and managing all facility-related activities for the Barcelona office and other international hubs, along with the headquarters
- Managing office services such as reception, mail, travel, supplies, cleaning, employee service, and hospitality
- Handling international vendor management, ensuring quality standards are met and optimizing internal services for employees and guests
- Administering resources for all offices, maintaining budget oversight, and managing purchase orders
- Providing dedicated facility and office management services, placing a strong focus on customer satisfaction and office infrastructure
- Implementing and sustaining community services across all Bitpanda offices
- Organizing and hosting internal and external events
- Supporting workplace-related projects and overseeing related documentation and administration
Requirements
- Minimum of five years of relevant office management experience with a strong focus on facility and office management
- Extensive experience in implementing and maintaining facility-related services
- Strong organizational and project management skills
- Proficient in supplier management
- Excellent problem-solving abilities with keen attention to detail
- Proficient in English with a customer-oriented approach; German language skills are a plus
- Completed high school or equivalent education required
- Fire safety and health & safety training are advantageous
- Willingness to travel internationally
