We are seeking an individual to fill the role of an Executive Assistant who can conduct various administrative tasks and provide support to senior managers within our organization.
The Executive Assistant will be responsible for managing schedules, arranging travel plans, and preparing financial reports. The ideal candidate will possess strong organizational skills, excellent time management abilities, and the capacity to work independently.
Ultimately, the successful candidate will enhance our operational efficiency by delivering personalized and prompt assistance to our executive team. We are looking for someone with a solid grasp of Google Workspace, adept at solving problems, and highly attentive to details.
This role is a remote position.
Responsibilities
- Drafting reports, memos, invoices, correspondences, and other official documents.
- Handling basic financial tasks.
- Researching and compiling data to create materials for board and executive presentations.
- Assisting in meeting preparations.
- Accurately documenting meeting minutes.
- Utilizing various software tools such as word processors, spreadsheet applications, databases, and presentation software.
- Reviewing and organizing incoming communications for distribution.
- Coordinating travel arrangements for executives.
- Performing general office duties, including procurement of supplies and database management.
- Managing incoming correspondence like faxes and emails.
- Offering general administrative assistance.
Requirements
- Proven experience as an executive assistant or similar administrative support role.
- Proficiency in Google Workspace.
- High school diploma education level.
- Ability to prioritize and manage daily workloads effectively.
- Capability to meet deadlines in a fast-paced and dynamic environment.
- Proactive problem-solving skills with strong decision-making abilities.
- Exceptional verbal and written communication skills at a professional level.
- Previous experience as a virtual assistant.
