Office Admin & HR Associate
We are in search of a dedicated Office Admin & HR Associate to manage the daily operations and human resource functions in our Singapore office. The chosen individual will be responsible for ensuring seamless office administration, fostering a positive workplace culture, and handling various HR activities. The ideal candidate should be proactive, possess exceptional organizational skills, and have the ability to handle a range of administrative responsibilities to ensure the office runs efficiently and smoothly.
Office Operations:
- Act as the primary point of contact for office-related inquiries from employees
- Coordinate day-to-day activities to maintain office efficiency
- Manage office supplies and equipment, oversee inventory, and re-order supplies as necessary
- Maintain a clean, organized, and well-maintained office environment
- Collaborate with facility maintenance, security, and IT support teams
- Organize office events, meetings, and team-building activities
- Develop and implement office policies and procedures
Administrative Support:
- Provide administrative support to senior executives, including travel arrangements and handling visitor requests
- Process company invoices, purchase orders, and financial documents in compliance with company policies
Vendor and Facility Management:
- Communicate with vendors and contractors for cleaning, maintenance, and other office-related services
- Supervise office building maintenance, repairs, and regulatory compliance
- Ensure adherence to health and safety regulations, including emergency procedures and safety equipment maintenance
HR Generalist Duties:
- Support pre/onboarding and employment procedures for Singapore-based staff
- Manage visa applications, maintain employee files, and HRIS databases
- Ensure compliance with labor laws and internal HR policies
- Handle payroll processing, benefits administration, and leave management
- Conduct exit interviews, manage offboarding processes, and assist with other HR tasks as needed
Requirements
- Minimum of 3 years of experience in HR generalist and office management roles
- Experience working in a diverse, multicultural environment
- Strong ability to handle confidential information with discretion
- Capable of working independently in a fast-paced environment
- Excellent attention to detail and solid problem-solving skills
- Exceptional organizational and multitasking capabilities
- Effective written and verbal communication skills in English
- Familiarity with Singaporean and regional labor laws is advantageous
