Personal Assistant to CEO / Admin (Junior)
Overview
Our client is seeking a skilled individual to serve as a Personal Assistant to the CEO, taking on dual responsibilities that involve providing administrative support in the office. In this combined role of Executive Assistant and Administrative Support for our CEO, you will play a crucial role in ensuring the smooth functioning of our executive team and offices based in Hong Kong. Working closely with the CEO, you will assist him in focusing on core responsibilities as our business expands globally. Additionally, you will serve as the main point of contact for all office-related matters, fostering collaboration with internal and external stakeholders. The ideal candidate will be thoughtful, innovative, exceptionally detail-oriented, and proactive in managing a range of tasks.
What You Will Do
- Assist the CEO in daily operations
- Manage calendars and organize internal and external meetings
- Prepare meeting documents like agendas, minutes, and presentations
- Handle incoming and outgoing communications, including emails and phone calls
- Arrange travel details such as flights, accommodations, and schedules
- Maintain confidentiality and handle sensitive information discreetly
- Manage invoices, expenses, and corporate credit card statements
- Welcome guests and uphold our unique office culture
- Serve as a liaison with suppliers, contractors, and building management
- Establish an office supply management system
- Maintain open communications across office locations
- Provide support for other departments as required
- Identify process improvement opportunities and implement streamlined administrative procedures
- Undertake various ad-hoc tasks and projects as assigned
What You Will Need
- Minimum of 2 years of experience in a similar role, preferably in hospitality or luxury sectors
- Excellent communication skills in English, Cantonese, and Mandarin
- Strong problem-solving and analytical abilities
- Proactive and detail-oriented with excellent organizational skills
- Ability to multitask, work under pressure, and prioritize tasks effectively
- Client-focused with excellent customer service skills
- Proficiency in Google Workspace and Microsoft Office
- Outstanding interpersonal skills and the ability to engage with individuals at all levels within the organization
