The role of Executive Assistant to the CMO and President is critical in providing administrative support to senior executives and operational assistance to the marketing team. Key responsibilities include managing calendars, facilitating communication, and coordinating administrative tasks with a focus on attention to detail and confidentiality.
Responsibilities:
- Manage and organize senior executives' calendars, scheduling meetings, appointments, and conference calls.
- Coordinate internal and external meetings by preparing agendas, booking rooms, and handling logistics.
- Anticipate and resolve scheduling conflicts proactively to optimize executive time usage.
- Arrange travel itineraries and accommodations for executives in alignment with business priorities and budget constraints.
- Act as a primary point of contact for inquiries directed to senior executives, ensuring timely responses.
- Draft, proofread, and edit professional correspondence, presentations, and reports for the marketing team.
- Prepare meeting materials and presentations, take minutes, track action items, and follow up on decisions.
- Maintain organized records of meeting notes, documents, and presentations for future reference.
- Manage email correspondence efficiently, prioritizing messages and executing action items.
- Assist in coordinating marketing projects, liaising with internal and external stakeholders.
- Track project timelines, milestones, and deliverables, providing updates on status and identifying risks.
- Support marketing campaigns, events, and promotions by managing administrative tasks and logistics.
- Perform general administrative duties such as filing, copying, mailing, and expense management to support the marketing department's operations.
- Handle sensitive and confidential information with discretion and professionalism, ensuring confidentiality at all times.
Requirements:
- Bachelor's degree in Business Administration, Marketing, Communications, or related field (preferred).
- 3-5 years of experience as an executive assistant or administrative assistant, ideally in a marketing or corporate setting.
- Strong organizational and time management skills to prioritize tasks in a fast-paced environment.
- Excellent interpersonal and communication skills to interact professionally with various stakeholders.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Ability to handle confidential information with integrity and discretion.
- Capability to work independently and collaboratively in a hybrid work environment.
- Location requirement: onsite work in the NYC area.
Salary Range: $109,000 to $136,200 (Final offer may vary based on experience and location).
