Description

Job Responsibilities:

  • Oversee all operational aspects of the workspace to ensure excellence, efficiency, and alignment with business requirements.
  • Ensure the facility is maintained, cleaned, and secured in accordance with company standards.
  • Plan, coordinate, and oversee all installations and refurbishments.
  • Implement and oversee security and emergency procedures in collaboration with the Security team.
  • Ensure compliance with health, safety, and environmental regulations.
  • Lead, develop, and provide support to the Facilities team in their daily tasks.
  • Supervise all facilities-related staff, including cleaning personnel, technicians, security, and external contractors.
  • Manage office space allocation, parking, waste disposal, and building security coordination activities.
  • Take ownership of all Facility and Admin tickets until resolution.
  • Coordinate arrangements for office visitors, external business partners, and business trip visitors.
  • Oversee office space management, including meeting room allocation and office space rearrangements as needed.
  • Organize business travel arrangements for team members in Bulgaria.
  • Handle all inbound and outbound correspondence and shipments.
  • Lead office rightsizing, renting, and relocation projects and support workplace initiatives.
  • Assist in organizing corporate events, activities, and other ad-hoc projects.
  • Manage insurance and service contracts, working closely with vendors.
  • Maintain all relevant purchase orders, financial, and non-financial records.
  • Maintain a strong focus on facility management best practices with an emphasis on service excellence, continuous improvement, and efficiency.
  • Conduct analysis, forecasting, and planning for facilities-related needs.

Job Requirements:

  • Bachelor’s degree or higher, or equivalent substantial experience.
  • Minimum of 3 years of professional experience in Facility Management in an international or multinational company.
  • Demonstrated experience in managing office spaces with over 200 seats operating 24/7.
  • Extensive knowledge of facility management best practices emphasizing service excellence, continuous improvement, and efficiency.
  • Proven experience in vendor management and engaging with internal stakeholders, with excellent written and verbal communication skills across all levels.
  • Strong decision-making and problem-solving skills.
  • Proficiency in Microsoft Office and Google Services, with the ability to adapt quickly to new platforms and processes.
  • Exceptional analytical, teamwork, and organizational skills.
  • Fluent in spoken and written English.
  • Meticulous attention to detail.
  • Ability to work independently or collaboratively based on needs and priorities.
  • Understanding of business acumen, including technical, financial, and organizational structures, is advantageous.
