Office Admin & HR Associate (Maternity Cover from Feb to Jul 2026)
We are looking for a highly organized Office Admin & HR Associate to manage the day-to-day HR and office functions in our Singapore office. The role involves overseeing office operations, maintaining a positive workplace culture, and handling various HR generalist activities. The ideal candidate should be proactive, possess excellent organizational skills, and be capable of managing multiple administrative tasks while ensuring the smooth running of the office.
Responsibilities
- Office Operations:
- Serve as the primary contact for employees regarding office-related concerns.
- Coordinate daily activities to ensure smooth and efficient office operations.
- Monitor office supplies and equipment, replenish stock as necessary, and maintain inventory records.
- Maintain a clean, organized, and well-maintained office environment.
- Collaborate with facility maintenance, security, and IT support teams.
- Plan and execute office events, meetings, and team-building activities.
- Develop and enforce office policies and procedures.
- Administrative Support:
- Provide secretarial and administrative assistance to local Senior Executives, including managing travel arrangements and handling visitors.
- Process company invoices, purchase orders, and other financial documents in compliance with company policies.
- Vendor and Facility Management:
- Liaise with vendors and contractors for office-related services such as cleaning and maintenance.
- Ensure compliance with regulations by overseeing office building maintenance and coordinating repairs.
- Maintain health and safety regulations, including emergency procedures and safety equipment.
- HR Generalist Duties:
- Assist in pre/onboarding and employment activities for Singapore staff, including visa processing and maintaining employee records.
- Ensure compliance with labor laws and company policies.
- Manage payroll processing, benefits administration, and leave requests.
- Conduct exit interviews, manage offboarding procedures, and handle other ad-hoc HR duties as required.
Requirements
- Minimum of 3 years in HR generalist and office management roles or similar positions.
- Experience working in a multicultural environment.
- Ability to handle confidential and sensitive information.
- Proficient in working independently in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
- Excellent organizational and multitasking abilities.
- Effective written and verbal communication skills in English.
- Understanding of Singapore and regional labor laws and regulations is advantageous.
