Office Manager/ Executive Assistant
We are looking for an exceptionally organized and efficient individual to take on the role of Office Manager/Executive Assistant, supporting our New York office and executives based in the northern hemisphere. This position involves a blend of office management responsibilities and executive support tasks to ensure seamless operations and enhance executive productivity.

Role Overview
This position goes beyond traditional administrative support roles and plays a crucial role in facilitating the global strategy and innovation drive of Auros through efficient operational management for our northern hemisphere executives. By meticulously overseeing their work environment, anticipating their needs, and ensuring a seamless office experience, you play a key role in enabling the company to achieve at the highest levels.
Primary Responsibilities
Office Management:
- Manage day-to-day operations of the New York office to ensure a professional and well-maintained workspace.
- Oversee office supplies, equipment, and maintenance requirements.
- Coordinate with landlords, vendors, and service providers for office-related issues.
- Handle incoming and outgoing mail, including distribution and shipping.
- Manage office lease agreements and associated documentation.
- Arrange travel bookings and provide support for company offsite events.
Executive Support:
- Offer administrative support to executives based in the northern hemisphere.
- Coordinate complex schedules and calendars for multiple executives.
- Schedule appointments and meetings, prepare agendas, and provide necessary materials.
- Assist with various administrative tasks such as tax administration and basic accounting activities.
- Address ad hoc requests promptly.
Financial Management:
- Process accounts payable and handle invoices.
- Assist in budget monitoring and expense reporting.
- Coordinate with the finance department to ensure accurate record-keeping and timely payments.
- Manage basic accounting tasks and reconciliations.
Communication and Organization:
- Serve as the primary contact for northern hemisphere operations and support.
- Prepare reports and supporting materials as required.
- Distribute post-meeting communications and follow up on action items.
Qualifications
- Prior experience as an Office Manager, Executive Assistant, or in a similar role.
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite and other relevant software.
- Good financial acumen with experience in payments and reconciliations.
- Ability to maintain confidentiality and handle sensitive information discreetly.
