Job Summary:

The role of the Office Assistant is vital in ensuring a positive first impression for employees and visitors. Job Responsibilities:

  • Front Desk Management:

  • Warmly welcome and greet visitors, clients, and employees with a professional demeanor.

  • Handle incoming calls by redirecting them to the appropriate departments or individuals.

  • Keep the front desk area tidy and organized.

  • Visitor Coordination:

  • Register visitors, issue visitor badges, and notify the relevant personnel about their arrivals.

  • Administrative Support:

  • Aid in general administrative tasks, such as mail distribution, package handling, and managing office supplies.

  • Schedule and coordinate meeting room bookings.

  • Generate and review work orders, purchase requests, and invoice receipts.

  • Collaborate with subcontractors and vendors to ensure compliance with service level agreements.

  • Provide assistance to the facilities management team with administrative tasks or special projects.

  • Manage access cards, employee benefits, SWAG, business travel bookings, visa documentation, and employee requests via the Admin ticket system.

  • Communication:

  • Effectively communicate with internal teams to uphold smooth operations.

  • Respond to inquiries and offer information to visitors and callers.

  • Security Management:

  • Monitor access control and uphold premises security.

  • Coordinate with the security team to maintain a safe workspace.

  • Event Support:

  • Assist in organizing company events, meetings, and conferences.

  • Provide support related to catering and logistical needs.

Job Requirements:

  • Proven experience in office assistance or a similar role is desirable.
  • Excellent verbal and written communication skills in Bulgarian and English.
  • Proficiency in Microsoft Office Suite and G-Suite.
  • Strong organizational and multitasking capabilities.
  • Professional appearance and demeanor.
  • Must be punctual and reliable.
